Key Responsibilities 🎯

  • First Impressions Matter: Greet visitors, clients, and guests with a warm, professional, and positive attitude. ☀️
  • Master of Communication: Professionally manage a high-volume, multi-line phone system, directing calls, taking messages, and handling inquiries.
  • Office Coordination: Manage the reception area, ensuring it is tidy, presentable, and welcoming at all times.
  • Administrative Excellence: Provide comprehensive administrative support to various teams, including scheduling meetings, preparing documents, and managing correspondence. 📄
  • Mail & Logistics: Handle incoming and outgoing mail, packages, and courier services efficiently.
  • Tech-Savvy Support: Assist with scheduling meeting rooms, setting up conference calls, and troubleshooting basic AV equipment.
  • Inventory Management: Monitor and order office supplies, keeping the pantry and stationery stocked.
  • Team Support: Act as a central point of contact for internal staff requests and assist with ad-hoc projects.

Must-Have Skills & Experience 🛠️

  • 5+ years of proven experience in a front desk, receptionist, or office administration role.
  • Software Proficiency: Advanced knowledge of Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) is essential.
  • Communication Mastery: Exceptional verbal and written communication skills, with a clear and professional phone manner.
  • Polished & Professional: Impeccable presentation, punctuality, and a customer-service oriented mindset. 👔
  • Organizational Wizard: Superior organizational and multi-tasking skills with a strong attention to detail.
  • Interpersonal Skills: A natural people-person with the ability to interact positively with everyone, from senior executives to delivery personnel.

  • Basic knowledge of accounting software for processing invoices (e.g., QuickBooks).
